Setting up the Zapier integration for IndustryNewsletters

You can use Zapier to automatically add or update your IndustryNewsletters member list from your CRM (and vice versa)

About the IndustryNewsletters Zapier integration

Zapier is an automation service that allows you to connect two apps or websites and perform predetermined tasks between the two. Each connection is referred to as a Zap and each action that connection performs is called a task. With Zapier's free account, you can configure up to five Zaps that can collectively complete 100 tasks per month. (Zapier also offers paid account options for heavier usage. Some CRMs will require the paid account for Zapier as well.)

The IndustryNewsletters Zapier integration allows you to connect your CRM with your IndustryNewsletters account, automatically adding new members between the two, or updating CRM records when member data in IndustryNewsletters is updated. You also have the option of capturing Opportunity data for a member in the IndustryNewsletters platform, and sending it directly to your CRM.

Triggers

A trigger is the event that starts a Zap. IndustryNewsletters has three available triggers:

  1. New Opportunity - This trigger executes when a new opportunity is generated by a member in your list, meaning they filled out a survey or opened an article with an alert.

  2. New Subscriber - This trigger executes when a new member is added to your list in IndustryNewsletters, either from the Add New Member screen, an import, or the Signup form.

  3. Updated Subscription - This trigger executes when a member's First Name, Last Name, or Email is updated in IndustryNewsletters.

Actions

An action is the automation that occurs once the Zap has been triggered. IndustryNewsletters has two available actions:

  1. Add Member - This action allows a new member to be added to your IndustryNewsletters member list, as long as it passes the usual validation parameters.

  2. Search Members - This action allows you to search your IndustryNewsletters member list by First Name, Last Name, and Email. You can also add a new member if no match was found.


Creating your first Zap

To get started with the IndustryNewsletters Zapier integration, you'll need to first create an account on the Zapier website. It may ask you to answer some questions about your role and company size - feel free to leave these blank. It will then ask what apps you use. You can select a few now or just press the Skip button at the bottom to select them later.

You should now be at the home screen of your Zapier account. In the top, left-hand corner there will be a orange button that says Create Zap. Click this button and you should be taken to the Zap setup screen. You can name the Zap anything you would like by clicking on the pencil next to Untitled Zap in the top left.

Setting up the Trigger

In the search bar under App Event, type in "IndustryNewsletters" to search for the app, and click IndustryNewsletters when it appears in the list.

In the Trigger Event category, click the box that says Choose an event and select any option (either New Opportunity, New Subscriber, or Updated Subscription.) Click Continue.

Connecting your IndustryNewsletters account

You'll now see Choose Account. Click Sign in to IndustryNewsletters to connect your account. The Connect an Account window that pops up will ask you for an API Key and Email Address. The API key can be found in your IndustryNewsletters dashboard as Zapier Key.

Copy and paste this key in to the box that says API Key on the Connect an Account pop-up screen from the Zapier website. Make sure the Email Address you enter here is the login email for your IndustryNewsletters account. Click Yes, Continue when you've entered both the key and email address. The pop-up screen will disappear and you'll be able to continue setting up your Zap.

Click the blue Continue button.

Now click Test trigger. You should get a message that looks something like this:

Now click Continue again.

Setting up the Action

In the search bar that comes up, search for and select your CRM. (We've used HubSpot as an example.)

Now choose an event from the list that you'd like to automate. (These actions are designated by your CRM.) For example, select Create Contact for HubSpot, if you'd like to create a new contact in HubSpot when a new member is added to your IndustryNewsletters member list. Click Continue and sign into your CRM.

Once you're signed in, you'll see the Set up action options. At the very least, you'll probably want to match the First Name, Last Name, and Email fields here. Just click in the box that matches each of those fields and select the corresponding information. Click Continue.

Click Test & Continue to test the Action. You should receive a similar message to when you tested the trigger.

You can now click Turn on Zap to complete setup.

Setting up other Zaps

You may want to repeat this process for each trigger available. You can do so by clicking the back arrow button next to the Zapier icon in the top left. This will take you back to the home screen where you can create a new Zap.

To add new members to your IndustryNewsletters member list from your CRM, you'll follow the same steps as above but connect your CRM in the Trigger section, and the IndustryNewsletters app in the Action section.
